How to create a derived rate plan calculated by formula

Last update: Feb 26, 2026

In the Exely system, you can easily create special offers with the help of the derived rate plans feature. If your offer has a discount or a surcharge for every guest in a booking, create a derived rate plan calculated by formula.

Let's look at creating a derived rate plan calculated by formula, based on the example of a rate plan with breakfast included. You need to quickly create a rate plan with breakfast included so that the price of breakfast is automatically added to each accommodation type. For example, the breakfast price is €10 for one guest, €20 for two guests, €30 for three guests, and so on.

To create a derived rate plan with included breakfast:

1. In the Exely extranet, go to “Room management” > “Rate plans”. Then, click the “Create derived rate plan” button.

2. A window with a list of options will be opened. To create a rate plan calculated by formula, select “Custom rate plan”.

3. Make the following settings:

  • Enter the rate plan name that would be clear to the guests.

  • Select the base rate plan, based on which the price will be calculated.

  • Specify if meals are included in the rate plan.

Click “Save”.

4. On the “Rules for derived rate plan” tab, in the “Rules for derived price” section, edit the automatically created rule if the validity period of this rule is not limited and it should apply indefinitely.

For the “Calculate price” setting, select “By formula” and select the “Surcharge per guest” option from the “Calculation options” drop-down list. In the formula, replace “100” with your breakfast price: rate+10*beds, where:

  • rate — the price in the parent rate;

  • 10 — the breakfast price;

  • beds — the accommodation type.

For the "Days of week" setting, you can select the days when the rule will be applied. Tick check-box for the accommodation types to which the surcharge should be applied. Save the changes.

For details on derived rules settings, see the article “How to set rules for derived price in derived rate plan”.

5. In the "General rules" section, select the restrictions and other parameters that should be derived from the parent rate plan. After making changes, click the "Save" button at the top or bottom of the page.

6. If, when creating the rate plan, you selected a meal service included in the rate plan, this service will be displayed on the "Services" tab for the rate plan.

If the service was not added to the rate plan during creation, you can add it later on the "Services" tab.

Click "Add a service" and select the required service in the opened window — for example, "Buffet breakfast. In the list of room types, tick check-boxes for the room types for which this service should be offered. In the "Included or for extra cost" field, select "Included in the rate plan" and click "Save".
