Reception
In case a hotel has more than 40 rooms, and the occupancy rate is high, it could be hard to search for a booking in the “Front Desk”, as you will have to go back and forth in the calendar or use the search box.
To make Exely PMS easier to manage when it comes to hotels with a large inventory, we updated the Front Desk and added an easy-to-manage tool called “Reception”, where you can find arrivals and departures for any date. To find this section, go to “Property management” > “Reception”.
Creating a new booking
Click the “Create a new booking” button, and there will open the same page that comes up when you create a booking in the “Front Desk”.
Checking in
In the “Arrivals” tab, there are all the bookings that are supposed to check in on the selected date. To check a guest in, click the “Check In” button in the “Action” column.
Checking out
In the “Departures” tab, there are bookings that are supposed to check out on the selected date. To check a guest out, click the “Check out” button in the “Action” column.
Other actions
Apart from checking in and out, by clicking on the other button in the “Action” column, you can edit the booking, cancel it, or view related documents.
Occupied rooms
In the “Occupied rooms” tab, you can find bookings that you already checked in but have not checked out yet.
“View” button
You can remove the column that you do not need in the report by clicking the “View” button in the top right corner.
In the opened pop-up window, untick those columns you do not need. Then, click the “Save” button.
Status of a booking
You can structure the content of the report by setting the “Status” and “Tags” filters.
Statuses in the “Arrivals” tab:
Hot — booking with the check-in date today that was made today.
Due-in — check-in time is not due yet, but it is expected on the selected day.
Check-in date — you checked the guest in.
Late — the check-in time is overdue, but you have not checked the guest in yet.
Statuses in the “Departures” tab:
Due-Out — check-out time is already due, but it is expected on the selected day.
Check-out date — you checked the guest out.
Delay — the check-out time is overdue, but you have not checked the guest out yet.
Export to XLSX
To download the list of bookings as an Excel file, click the “Export to XLSX” button in the top right corner above the report.
