How to set cancellation rules for specific online distribution channels

Cancellation terms are usually set for each channel separately in their Extranets. Although, there are several restrictions. In Exely Channel Manager, you can set cancellation terms for HRS, Hotels.com, and VHOTEL.

To set the cancellation terms, follow the steps below;

1. Go to “Channel Manager” > “Settings”. The “General settings” tab will be opened.


2. Scroll to the “Cancellation terms” section. By default, there are two preset cancellation rules.


“Late cancellation penalty” is a penalty that equals the first night’s fee. Such a penalty is assigned if a booking is canceled less than 24 hours before the arrival date.


“Non-refundable rate plan” stands for a rate plan at which the penalty of 100% of the stay cost no matter when the booking is canceled.


These cancellation terms cannot be changed.

To add another cancellation terms for online distribution channels, take the following steps:

1. Go to “Channel Manager” > “Settings” > the “General settings” tab. Then, scroll to the “Cancellation terms” section. Click on the “Add a cancellation rule” button.


2. Enter the name of the cancellation rule and click on the “Add” button.


3. Select it from the list. Then, click on the “Edit” button.


4. Make settings: the period prior to arrival date and the penalty amount. Then, click on the “Save” button.


Well done! The cancellation rule is created. For the next step, you need to apply the cancellation rule to distribution channels.


5. Go to “Channel Manager” > “Manage Channels”. Then, select the distribution channel you need. In the “Room types and rate plans mapping” tab, find the “Cancellation rule” column and select the cancellation rule for the rate plans you need. Make sure these are rate plans that can be updated in online distribution channels.

6. Save changes.
